Privacy Policy for Google Ads Lead Inquiries

Effective date:

Bend Payroll & Insurance (“we,” “us,” or “our”) respects your privacy. This policy explains how we handle information submitted through our Google Ads lead forms and the communications related to those inquiries.

This policy covers prospective business-client inquiries about payroll, PEO services, business insurance, and HR support. It does not replace separate notices or agreements that may apply to client onboarding, employee payroll records, insurance applications, or website tracking technologies.

Information we collect

Depending on the form, we collect the information you choose to submit, such as your name, email address, telephone number, business name, location, employee count, and services of interest. We may also receive the submission date and identifiers associated with the ad or lead form.

Please do not submit Social Security numbers, bank or payment-card details, employee payroll records, passwords, medical information, or other sensitive information through a lead form. If we need additional information to provide a service, we will explain how to provide it through an appropriate channel.

How we use your information

We use your information to respond to your inquiry, discuss the services you requested, prepare or coordinate quotes, schedule appointments, and maintain records of our communications. We may use service providers to organize inquiries and deliver these follow-up communications, including automated appointment confirmations and reminders.

If you separately choose to receive promotional communications, we may send relevant information about our services in accordance with your preferences and applicable law. Submitting a lead form is not blanket consent to automated marketing calls or texts. We obtain any consent required for those communications separately. Marketing consent is not a condition of purchasing services.

When we share information

We may share the contact and business information described above with providers that help us store and manage inquiries, operate our customer relationship management system, schedule appointments, or deliver communications. We limit these disclosures to information needed for those services and require appropriate confidentiality and data-protection obligations.

If you request an insurance quote or another service that requires an outside provider, we may share necessary information with the insurer or provider to fulfill your request, with any authorization required by law. We may also disclose information when legally required or reasonably necessary to protect rights, address fraud, or respond to lawful requests.

We do not sell or rent your lead information or provide it to third parties for their own marketing. We do not share mobile numbers or SMS opt-in information with third parties for their independent promotional purposes.

Your communication choices

You may ask us to stop follow-up communications by emailing or calling us using the contact details below. If you receive promotional emails, you may use the unsubscribe instructions provided in those messages.

If you have opted into text messages from us, you may reply STOP to stop those messages or contact us for help. Message and data rates may apply. We may retain the minimum information needed to honor your opt-out request.

Retention and security

We retain inquiry information only as reasonably necessary to respond to your request, maintain appropriate business records, satisfy legal obligations, and honor communication preferences. When information is no longer needed, we delete it or de-identify it, subject to applicable recordkeeping requirements.

We use reasonable administrative and technical safeguards appropriate to the information we handle. No method of electronic transmission or storage can guarantee complete security.

Google’s handling of information

Google hosts the lead form and processes information through its services under its own terms and privacy practices. For information about Google’s handling of personal information, see Google’s Privacy Policy.

This policy describes our handling of the lead information we receive. It does not control Google’s independent collection or use of information.

Privacy requests

You may contact us to request access to, correction of, or deletion of your lead information. Where applicable law provides additional privacy rights, we will honor those rights, including any applicable rights to obtain a copy of information, learn about disclosures, or opt out of specified processing.

We may need to verify your identity before fulfilling a request. Legal exceptions and recordkeeping obligations may limit what we can delete or disclose. If we deny a request and an appeal right applies, contact us with “Privacy Appeal” in the subject line. We will respond within applicable legal timeframes.

Changes to this policy

We may update this policy to reflect changes in our practices or legal requirements. We will post the revised policy with an updated effective date and provide any additional notice or obtain consent when required by law.
